This innovative organization is seeking an Educational Grants Coordinator to
join their dynamic team.
POSITION SUMMARY
Reports to the Educational Grants Senior Manager. Works
closely with the Senior Manager and the Office of Education to prepare, submit
and track funding requests for industry-supported CME activities. Coordinates
Letters of Agreement (LOAs) to the industry for continuing medical education
(CME) and non-CME activities. Coordinates the international sales of products,
as well as support of international affiliate meetings held during the Annual
Meeting.
RESPONSIBILITIES
Act as a key contact when submitting CME funding
requests to the industry on behalf of the following entities:

Coordinate, track and ensure proper
documentation, including, but not limited to, budgets, needs assessments,
program objectives, LOAs and contracts for CME and non-CME funding requests.· In conjunction with the Office of Education, communicate industry commitments for CME activities and ensure accurate and timely preparation, completion and execution of CME grant requests and CME LOAs.
· Coordinate, track and fulfill post-activity documentation and deliverables as required by industry agreements, including preparation of final budgets and outcome assessments.
· Work with AED and Conventions and Meetings Department to coordinate support of international affiliate meetings by recommending funding levels, invoicing, collections and onsite recognition.
· Coordinate the activities of international translation agreements with contracted agents.
· Remain current on appropriate guidelines including but not limited to the Open Payments Act, ACCME Standards for Commercial Support, PhRMA, AdvaMed Code and OIG Guidance.
· Maintain tracking sheets detailing the status of all funding requests.
ESSENTIAL FUNCTIONS
· Build relationships with grants office personnel, agencies and third-parties related to these activities.
· Work with grant offices to ensure that industry support is properly acknowledged and meets industry guidelines.
· Proactively contact industry grant offices to ensure that the organization stays up to date and informed about contact and process changes related to CME grant requests.
· Meet inter- and intra-departmentally to discuss funding requirements for CME and non-CME activities as directed by Senior Manager.
· Monitor grant deadlines and follow up regularly with grants offices and other third parties as needed to ensure that requests are received in a timely fashion.
· Coordinate all documentation required for CME and non-CME funding procedures, including budget preparation and needs assessments.
· Track grant requests and LOA status in Excel and proactively and follow up with grant offices on status.
· Report grant request status updates to Senior Manager as soon as possible.
· Resubmit and update funding requests as directed by grants offices and discussed with Senior Manager.
· Meet with the Office of Education to communicate industry commitments for CME activities in concert with Senior Manager.
· Work with the Office of Education to ensure accurate and timely preparation and submission of CME grant requests and LOAs.
· Help OE prepare documentation as needed for CME grants requests including assistance with budgets, needs assessments and outcomes.
· Provide fully-executed LOAs to Office of Education for industry supported CME activities.
· Maintain electronic files of signed LOAs for industry supported CME activities.
· Provide internal departments with a detailed list of requirements and timeline for grant requests and reconciliations.
· Ensure that industry support is properly acknowledged using logos and text in materials, including signage, walk-in slides, handouts, and promotions.
· Determine post-activity requirements needed by each company and meet deadlines in order to maintain good funding status with industry supporters.
· Conduct post-meeting analyses; obtain reports, budgets, data and outcomes information to complete all documentation as required by industry agreements for post-activity reporting.
· Maintain records of fulfilling industry grant reconciliation requirements.
· Work with AED and Conventions and Meetings to determine funding levels for international affiliate meetings held in conjunction with the Annual Meeting.
· Serve as the primary contact for international groups and communicate funding requirements.
· Track and monitor payment status, ensuring timely payment is received.
· Ensure that industry support is properly acknowledged onsite with signage.
· Act as the primary point of contact with contracted agents.
· Meet with departments to collect samples new or revised versions of education products and distribute to agents to sell on the international market.
· Develop a thorough list of products available for translation and actively promote the availability of new products to contracted agents.
· Receive agent revenue statements as listed in our agreements and circulate to AED and Accounting.
· Monitor cash receipts of international sales and follow up with agents on delinquent accounts.
· Maintain tracking sheet for translation requests, including inquiries, invoices and payments.
· Stay current with ever-changing industry grant requirements and processes and update personnel with changes.
· Stay current of ACCME and CME environment by participating in webinars and attending meetings, including ACEHP, IACE and other professional meetings as requested.
· Prepare weekly updates on the status of funding requests for all CME and non-CME activities.
· Maintain call logs on communications made with grant offices.
· Prepare reports on all grants activities for Senior Manager, detailing the status of all requests.
· Attend department meetings to discuss industry grant funding status and prioritize funding requests based on discussions.
· Assist Corporate Relations and other departments with duties as needed.
· Monitors and keeps abreast of industry and association trends, in the health care convention field as well as medicine and health care
QUALIFICATIONS/REQUIREMENTS

Bachelor’s degree required
· Three years of experience with adult continuing medical education including developing grant proposals, needs assessment, and evaluation plans
· Certified CME Professional (CCMEP) credentials a plus
· Excellent written and oral communication skills
· Ability to shift priorities and complete multiple tasks in a fast paced environment, ensuring deadlines are met
· Tact, discretion, affability
· Must be available to work Monday through Friday, and must be available for occasional weekend and/or extended hours as required
· Travel required
· Knowledge of the pharmaceutical and medical device industries
· Knowledge of ACCME Standards for Commercial Support
· Proficient level of Microsoft Office Suite including Word and Excel
· Bilingual and/or international business experience helpful
